WSMLA BOARD OF DIRECTORS MEETING                                   January 13, 1995

Meeting called to order at 7:30 pm


Roll Call: All present.


Treasurers report: See attached comparison of 1993 and 1994 Income and Expense Summary.

State Shoot broke even, Postal and Traveling Trophy were in the black. Total Balance (CDs and checking) as of 12/31/94 $4784.71 (+approximately $45 CD interest). Discussion on reinvestment of CD? Short Term matures soon, reinvest? Rick Conwell suggests we reinvest in one or two year CD. Should State shoot be an income producing event for the State association?



OLD BUSINESS


Traveling Trophy (Dave Tyrell): Income $163.00, trophies $89.60 + $55=$144.60, ordered 250 extra (Marquee awards) medallions (10 year supply $605). Store medallions in safety deposit box (2x5x22") if they will fit. Trinidad unavailable for Postal Match report. Photo Contest Committee report (Roger Roebling and Tony Larvie): Need Room. Judy wondered if color were acceptable, apparently yes. What is needed to hang? Roger ordered ribbons, have not come in yet. Auction off photos. Top three in each category, 50% to photographer and 50% to State Association. Temporary buckskin ribbons suggested by Tony Larvie? Marlin Atkins will be auctioneer again. Ballot boxes, coffee cans or shoe boxes for photo contest. Safety packets (Zero interest) Video rentals - Travis Bennett didn't return rentals. Some interest (Rick Conwell: New video Hunter Warrior of the Plains - Junior High level) May need some new videos for different interests. Video Committee can buy up to $200 for new videos under current rules. Convention Location: Mike Corrigan - Be pointed in questions for new (Parkway) hotel proposal. Check on room rates, perks (coffee?), what will they do in addition to what we already getting, swimming pool, alcohol rules (jugs, own brew).



NEW BUSINESS


Parkway Plaza Convention Center presentation: Room Rates $39 flat rate. Meal Bid (negotiable), 2 Hospitality sweets (20x15') instead of holidome, booth area in ball room, small meeting room no charge, adult $9.75 and $4.50 child (under 10) prices for buffet dinner. Cash Bar also. 2 rooms for Trade Show $100/room/day. Dance room no charge. Jacuzzi and sauna, uncovered swimming pool. Alcohol - no private liquor in cans and bottles, cup okay, jugs okay. Cash bar will serve anything requested (brands of beer) plus nonalcoholic as standard stock. Coffee earns: Meetings and Trade show $6/pot, $35 for 50 cup, not refilled unless empty. In excess of four people per room is an additional charge per person, unless you can get away with it. Pets okay except livestock. Tour of facility okay. Map of facility. Ballroom huge. Wheel chair ramps. Game room for kids across from bar. Restaurant open from 6 am to 10 pm. 1 free room for every 20 rented. Room Sizes 2-33'x60' (Wyoming and Natrona) 1-53'x60' (Mardi Gras) Room charge for moving in and out of rooms. Small meeting Room (Shoshoni). Bryan: further negotiation on rates needed. No useable pool is a problem. General meeting in trade show area may be okay. Judy suggests if you haven't seen the facility need to check it out. Mike Corrigan wants to tour tomorrow. Trinidad wants free lunch to tour facility on Sunday. Doc Bob - is it broke? Do we need new site? Membership likes Holidome, biggest problem no pool. Need to make decision to lock in rates for 96 convention. Inform general membership to give input at general meeting? Present package and ask how important the pool is. Board should probably make final decision before Monday.


Holiday Inn Convention Proposal: See packet info. Bid proposal. $40 flat rate. Extra complimentary sweet for extra participation in future. 1-4 people per room. Meal price $10.50 adult, $5.00 children under 12 if similar type to this year. Liquor issue okay for private alcohol, will let slide. Manager has offered a free keg for dinner/dance ($55 to State). Busch, Bud, O'Dooles added to beer list. Contact John Kelly for more info (Assistant Manager), complimentary meeting rooms, trader space, kids activities (lots of them), children eat free at restaurant under 12. Coffee 60 cents per cup. $37 for 50 cup earn (2), 1- 25 cup earn for $10. Maybe cut us a volume discount. One free earn for every five purchased. Bryan Youngberg wants a flat coffee price instead. Coffee makers in every room. Sweets - Presidential sweet raffle away at general meeting for next year. Jacuzzi sweets $150/night. Pets fine. Jacuzzi Sweets for $75 if want to raffle off.. Reggie suggested Judy move into Presidential sweet. Photo contest: 5 easels in Ash Room. Table in Holidome west of dining area (skinny eight foot) for Trinidad. Room rate possibly negotiable ($38?). Registration table, 2 boxes of info from chamber. Duplicating machine access, no charge. Keg - Bud Lite? discuss later. Mike Corrigan- contract negotiations have made businesses competitive, but Parkway still needs to cover pool to be more competitive.


John Boesch: 1838 Rendezvous Association will sponsor cocktail hour in leu of Dubois. Doc Bob Eveland related rules for Cocktail hour, sponsorship proposal needs to be presented at State Shoot. Holiday to set up keg. Cocktail hour after general membership meeting at 5:00 pm Richard Emmond - 6 cases. Dinner at six. General meeting 3-5. Keg at auction and after. Cans with cocktail bar at 5 (happy hour). Liquor sales a service, motel not out to make a profit. John mentioned 1838 Rendezvous association cultural center. Fund raising $100,000 for 10 acres of land.


Trinidad Postal Match: See handout. Trophies more expensive. $134.37 Change target to Single bull buff for higher scores. Rule change proposal: only 50% of team members need to be WSMLA members. Cannot belong to two clubs and shoot on both teams. Team can buy a State Association membership if not State members, good only for postal match participation. $15 for State membership and $15 for Postal Match entry. Doc Bob asked to table the remainder of discussion.


Reggie stated that Jim Hayes: Booshway of '96 Nationals in Wyoming (Bighorns, north fork of Powder) needs floor time at meeting, needs help with shooting (bodies) not money.

Second Board of Directors Meeting                                      January 13, 1995

Meeting Called to Order at 9:50 pm


Past Minutes (July 23, 1994): Bryan Youngberg made motion to Approve, seconded by Scott Gormley. Motion to approve minutes passed.


Gillette would like to bid for State Shoot July 28-30th, 1995. Would release board from running shoot. State shoot should be held later in year, August. No matter when there is always a conflict with something (Fairs, Rodeos, etc.). Board elections: 4 Ballots (Term expirations: Judy Corkill, Bryan Youngberg, Tony Larvie and Roger Roebling). Rick Conwell - Board is charter club of NMLRA, new board members must be NMLRA members or must join for insurance purposes. Reggie volunteers to do video library in absence Sunday. Bryan agreed okay to move library around. Mike Corrigan - convention decision, tour Parkway. Judy question - Jack Hardigan, quest speakers get free rooms and paid mileage). Presidential sweet - Reggie made the motion that the sweet goes to the president. Mike Corrigan second. Motion passed. Mike Corrigan thought a survey form for convention suggestions in newsletter might be helpful. Board okayed. Board needs to push for additional talent for talent show. Footnote wants free room if his group ends up playing remainder of night. Motion to okay two rooms for one night or one room for two nights as a backup plan. Motion amended to $80 for backup entertainment (2 hours) by Tony Larvie, Mike Corrigan 2nd. Motion passed with Dave Tyrell opposed. Sunday meeting 8:00 am instead of 7:30.
